Responsibilities:
Provides comprehensive administrative support for the general manager and office.
Duties include, but are not limited to, office administration, meeting minutes, product and customer services, and records storage.
Serves as rental agent for participating homeowners/units at North Star Village.
Inclusive of responding to telephone inquiries, placing reservations, maintaining a reservations schedule, sending confirmations and collecting payments, processing homeowners' commissions, supervising the housekeeping and repairs of units, interacting with customers and homeowners, maintaining all associated records, etc.
Responsible for maintaining an accurate and organized filing system for the general manager and administrative department and assists with storage maintenance in the records room.
Maintains recordkeeping for various manuals, including compliance, contracts, inspections, programs and pricing, etc.
Answers and routes telephone inquiries.
Must have a good working knowledge of the company's products, policies, and services Interacts with customers and responds and/or processes credits or refunds, as each case may present.
Generates customer correspondence, logs, vouchers, and any other necessary documentation Maintains a spreadsheet and monitors various NYS compliancy requirements to ensure that inspections and licenses are current and up to date.
Drafts and updates letters, forms, logs, department operations manuals, policies, and other documents resort-wide.
Updates and distributes various resort calendars and department schedules.
Notifies department supervisors of staff meetings, records, and distributes meeting minutes Prepares and orders resort letterhead, envelopes, business cards, vouchers, and other documents as needed.
Monitors inventory and purchases products as necessary.
Ensures that office equipment is properly stocked and operating efficiently.
Places services calls for office equipment including copiers, fax machines, mailing machine and purchases supplies for equipment Coordinates the assignment, availability, issuance, and integrity of season lockers.
Assists with the generation of written communications to locker holders.
Works with staff to change locker combinations at season end.
Reports and follows up locker repairs with maintenance personnel Gathers information and assists with the compilation of statistics and preparing year-end demographic reports resort-wide.
Performs research, as requested, to compare prices or practices in the ski industry.
Completes industry surveys.
Maintains confidentiality of internal company information, records, etc.
Meters outgoing mail.
Maintains postal meter records, updates settings, and purchases supplies and postage.
Delivers outgoing mail to mailbox and picks up incoming mail and forwards to the general manager.
Ships packages via UPS or Federal Express as necessary.
Notifies staff of incoming deliveries Completes mass mailings for marketing promotions, employee newsletters, customer confirmations for various services purchased, including but not limited to season passes, ski cards, gift certificates, brigades, camps.
Mails ski cards and gift certificates.
Mails individual and bulk resort information to customers as requested Assists in maintaining a clean office environment.
Keeps work area clean and organized.
Performs other administrative duties and assists other departments in a team-oriented fashion as necessary Requirements:
Qualifications:
18 years of age or older and prior work experience Ability to accurately complete transactions using POS system Prior cash handling experience Must have excellent verbal communication and customer service skills Professional individual with superior organizational skills Ability to remain focused and organized in a busy environment Detail oriented and proficient in MS Office applications Hours:
Hours of employment are dependent on business demands Must have weekend and evening availability and flexible weekday availability.
Estimated Salary: $20 to $28 per hour based on qualifications.
